The absence calendar view That my HR department always has my info at their disposal
I find this software overall not so intuitive. I'm sure it's not just me, just to mention one, the HR in our company required help to use it
Seeing how many holidays left in a quicker way Information in one place Overview of the company's info
to link the hiring process with the hole HR management
we´re having problems with our personio-web implementation
all the information in the same page
I dislike that I spent a lot of time filling in the survey and no matter what I did, no way to get the max grade.

- many useful modules are already available to map a range of personnel processes - it has a modern design and in many places it is also implemented in a user-friendly way - the support is always very friendly and endeavored - the software is web-based and accessible from anywhere - with a little effort you can somehow get most of the data out of Personio - the administration is good to handle (as long you stay in the standard) - the integration from a lot of different modules to one system
- it has been slower and slower lately - there are still a number of modules or functionalities in the modules that are missing or have not been thought through consistently (onboarding, reporting possibilities, mobile app, etc.) - sometimes there are also logic gaps which lead to the fact that automatic systems simply cannot represent reality (e.g. vacation calculation in absence due to parental leave and illness; no matter what you do, a calculation always runs wrong) - what bothers me the most, or rather my impression is: more and more construction sites are being opened than old ones are being closed completely - Communication of changes in the tool sometimes somewhat late
- Absence - Personnel Administration - Onboarding - Recruiting - Template management - Reporting (what is possible) - Partial data transfer to Datev for billing - Digital personnel file (in progress) ... and probably a number of other small things that I can't think of right now.
All in one system HRMS & ATS - It makes so much sense.
Translation to English isn't great. No free job boards in Spain to post to. Sections where it's no possible to re-order.
Recruitment in one place and proper on-boarding steps applied to every new person - it's consistent
Export function, Reports, Accessibility, fast support, Since August 2022 the server errors got less, Onboarding and Offboarding workflows are good
Some things aren't done until the end. In Recruiting there are channels but no costs visible. We can not export certain things even though they are in the profile. We can not enter more than one invoice address for our different branches to get different invoices for our job postings. They take away tools or support and want you to pay an extra fee from now on. Server errors are still there once every 2 weeks. Personio does not give our external data analyst all the items they need. Pretty often, there are some random things missing which cause bad data quality in our 3rd party tool.
HR Topics in general, Documentation, Org Chart, Onboarding and Offboarding
- Intuitive user interface - Some good Features as pre-termination of changes in employee profils, custom reports, good overview about Information - Reminder Feature for End of Probation Period / End of Contract - Uploadfunction for documents - More locations can be implementent, helpful for Full Remote Employees - Customer Support tries to help quickly
- Standard Reports don´t work often - Vacation days won´t be rounded automatically for example for part time employees
- Managing Reports
It does serve is one stop shop for all needs of a small to medium startup HR
Performance, support, and flexibility. Simple operations take a lot of time due to server locations or lack of cloud optimization. Flexibility: a simple task like having a hierarchy tree printed out is cumbersome and sometimes not even possible
Everything HR for the organization from vacation to salary and career management
The onboarding and offboarding tasks and templates are functional, and the absence calendars are easy to set up with a few different options for absence plans. The implementation is quick and easy.
Visually, Personio is clean and simple but a bit boring. It does the minimum needed for an HRIS for a small to medium-sized company, and there are still some limitations. There is no "company documents" section; we have to put all of our company documents in Google Drive folders and link them through the home page of Personio. E-Signatures are clunky, and you cannot put e-signature documents as onboarding steps for employees. The reporting is fine, but you cannot run reports for some variable (such as time off request dates for employees).
As our HRIS, it houses our absence plans, employee documents, and controls our onboarding and offboarding processes. Additionally, we run reports on various employee attributes.
It's possible to create 85 % of our HR processes digitally on Personio (it has been more in former times)
The product development not only seems to focus on wrong needs (from our point of view) but deletes usefull tools of former versions which makes usability worse.
We try and want to do all our HR processes digitally with Personio and use Personio as one source of truth for all HR information and data
Org Chart feature seems to work well, nice easy way to see users across the org. Calendar feature does allow me to see attendance across my entire team including sub-reports. GDPR compliance is good from my understanding
I use the tool almost daily to manage a team of 12 people globally, it doesn't have most of the features I'm used to from previous HR systems. Time Tracking - This tab is only for reviewing time tracking, if you want to enter it you to either clock in and then click edit time tracked, then click out of something and finally edit hours. Alternatively you can navigate to your user profile then goto the attendance tab? Why is it so hidden and buried. Additionaly no feature to follow up automatically with employees who haven't submitted time tracking. I have to manually check and follow up with them. if you want to copy time submitted to mutiple days, you must log it then copy. No ability to have it just auto fill it. Recruting - When reviewing an application, the actual resume only fills up 20% of the screen, Its so small I have to open in a separate window or goto linkedin to review the candidates qualifications. No automatic scoring system that can rank resumes based off keyworks. No ability to search submitted resumes across ANYTHING, even text fields they submitted during the application. No parsing of resumes in any way. No @ tagging system so I can notify a colleague to review something in a resume. Reviewing candidates is very painful. Performance & Development - Huge pain point for me here. No way to have employees get notified that a feedback cycle is ready, no way for employees to enter their comments before our review. I have to manually email them the performance questions to get their notes and then I copy/paste it in for them along with my comments. Every other system I've used in the past the employee gets notified first, they put in their comments first, then it goes to manager for review and their comments. Second major issue here for me is I can't see, edit, or add to comments from sub reports. If one of my direct reports has 4 people reporting into them, there is no way for me to see or access the performance of those sub-reports. Support - NO SUPPORT if you aren't the Admin / Contract owner. They don't offer support for actual business users. I personally run a support team so find this crazy. The support pages I don't find useful as they are difficult to search and navigate. Overall I can't recommend this tool to other business users, it makes my job as a manager harder and adds non-value added manual tasks to my role.
It is our Core HR platform, unfortunately its not meeting my needs
We came for a European-based/GDPR compliant HR platform but it turns out they don't have any certifications (ISO 27001, SOC2) and when asked to answer security questionnaires to get a better sense of their data and security postures, they don't.
Everything is not intuitive of buggy. They recently made their Customer service even more difficult to reach, and when you can finally interact with someone, the help you get is totally unhelpful.
Absence management and performance reviews.
The core of managing my employee files works great (store personal data and documents). I like the UI in most places and the structuring. The ideas around automation (document templates) and recruiting, kind of an "application tracking system (ATS) light", are good. I like the self-service aspects so people can update their data and upload or download documents we used to handle through manual interaction.
A) Communication with the support team is the worst, and I don't feel they take communication & support seriously at all. A junior support agent answers every request and follows some basic playbooks. They push me to create "community ideas" almost for every support message. That process falls apart when I'm dealing with actual bugs that influence my daily business. That's where a lot of frustration piled up the past 12 months. We just prolonged the subscription by another 12 months, but actually, this feels like a probation period for them for 12 months. I gave up telling them about issues or even proposing minor valuable features. It's a waste of time, I will live with whatever I get. B) Feature bloat: They release many features like the latest addition, the workflow hub, or some early feature like Performance Review, but they don't dedicate enough time to get the basics straight first (like the mentioned bugs). We don't use the Performance Review Module of Personio. There are dedicated solutions (like Lattice) that do a brilliant job, while the feature in Personio is just a shadow of what's possible and valuable. Yes, you can always say a dedicated solution for recruiting, onboarding, etc is always better. I want to point out that Personio is evolving in many places in parallel, but they seem not to care about the foundation that most folks are looking for when searching for an HRIS. Be careful when you expect a mature solution. It's not. C) I thought they embrace SMEs, but by today it feels like I have fallen for the bait, and I wonder what I would think about the other players like BambooHR in the market after 12 months. Maybe the same? It's our first HRIS, so I still have hope. D) Things I'm dealing with if you are interested: + API has no webhooks (pretty common for APIs and important for some advanced automation we do) at all and I only got feedback after 7 months "wait for API v2 which is not planned yet". + Onboarding/Offboarding creation experience feels very clunky and cumbersome and hinders our folks from improving that part continuously. + The document template engine does not support a preview on Firefox + The preview itself does not match the final result + The template organization is super clunky where we already wasted days of work. + The recruiting API has a tiny but annoying bug of removing line feeds of incoming applications (from our website form). I'v been waiting for seven months for a fix now. Just three months ago, developer-related person on the platform suggested "it's planned for the next sprint". This week, three months later, I got note about "no time, intended behavior".
We introduced it for our employee files, and we were excited to solve our recruiting and onboarding process issues with it. The employee file handling works great but it's the smallest part. We do not use time tracking, performance review or payroll.
Easy to manage, graphical and intuitive.
New performance module still in development. Recruitment module with lots of configurations to be done.
Holiday and documents management.
